REPORTS TO: Director, Center on Extremism

SUPERVISION EXERCISED: None

LOCATION: Anywhere ADL has an office; NYC preferred (CSC)

GRADE/CLASS: Grade C, Non-Exempt, Non-Union. Temporary, full-time role funded through June 30th, 2026.

PRIMARY FUNCTION:

 

The Operations Coordinator will provide a broad range of administrative and operational support for the Center on Extremism and the Center on Technology and Society.

Responsibilities

Primary:

  • Manage calendars and scheduling for team leadership, including coordinating meetings with internal and external stakeholders.
  • Assist with the preparation and routing of contracts and agreements; track deadlines and ensure follow-through on signatures and renewals.
  • Support the submission and tracking of invoices and payment requests; liaise with internal finance and procurement contacts as needed.
  • Track and assist with all operations work related to the Center on Extremism and Center on Technology and Society.
  • Maintain organized records for team documentation.
  • Assist with database maintenance.
  • Help maintain shared drives and organize content across platforms like SharePoint, Notion, and internal team folders.
  • Support the collection and compilation of team updates and project metrics for internal reporting.
  • Assist in drafting internal documents and slide decks that help summarize team workstreams and outcomes.

Skills:

 

  • Excellent organizational skills with strong attention to detail.
  • Ability to manage multiple tasks simultaneously and follow through reliably.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, Box, and Notion.
  • Comfort working in a fast-paced, team-oriented environment.

Work Experience:

  • The ideal candidate has several years’ experience in an administrative, operations, or team support role.

Education:

 

  • Associate’s degree or equivalent work experience required.

Work Environment:

  • ADL is a hybrid environment; this role may require 3 days in the office.

Compensation:

  • This position has a salary range of $52,000 to $65,000. This salary range is reflective of a position based in New York, New York. Temporary, full-time role funded through June 30th, 2026. Please note that actual salaries are commensurate with experience and reflect the budget for a given position, and since ADL has a location-based compensation structure, there may be a different range for candidates in other locations.
